Importing data from Trello to Clubhouse

Bringing the work your team has completed with you has never been easier. Your progress, history, insights, and all the wins you’ve made together in Trello can now be imported directly into Clubhouse.

We’ll work to improve every facet of this import process using your direct feedback and insights along the way. Ready to get started?

Team Preparation

We’re excited to start this process with you! Let’s start by making sure you’ve considered the following:

  • Ensuring you have proper Administrative permissions in Trello and Clubhouse

  • Speaking with the various teams on your side associated with the data you’re importing to ensure that you have a working knowledge of their needs

Tip: We’ve heard collecting your import information in a spreadsheet can streamline this process.

Requesting Import Permissions

Within Clubhouse, we start by asking your team to set up permissioning that allows us to talk freely to Trello. Here’s what you’ll need to start the process:

  • Your unique Trello Auth Key

  • A unique Auth Token (can be revoked immediately after import process completes)

Your Auth Key helps our importer connect to the right Trello instance, and your Auth Token lets Trello know that we have permission to read and transfer your files.

To generate both of these, make sure that you’re logged into Trello and visit to request those values.



Let’s dig into the heart of the import process - telling your Trello data where it will now live in Clubhouse. We recommend working through this part as a team when possible to ensure that everyone is comfortable with where their data will be mapped.

Here's what you'll need to have handy:

  • Trello Board ID(s): These are found within the URL of the board or boards you’re looking to import. Look for a number just like this from a logged-in view of Trello:


  • Board Name(s): This helps us organize the data during the process and helps to keep the import readable.

  • Target Clubhouse Workspace name: Which Workspace will this data be added into?

  • Target Clubhouse Project(s) for each Board: All cards from a Trello Board will be mapped directly into an existing Clubhouse Project.

    • If you cannot determine which existing Clubhouse Project to map into, we recommend creating a generic "Trello Import" Project, then moving items to various CH Workflows and Projects through bulk editing later which we’ll cover a bit later in this process.
  • User Mapping: Which Trello Users should be mapped to existing Clubhouse Users? Which users can’t be mapped, and need an invite to Clubhouse?

  • Default Story Requestor: If we cannot find a Trello Card creator, which CH User should be the fallback Story Requestor? (usually, this is the user running the import)

What else will be imported from Trello?

In addition to the core functionality, we’re also excited to announce that the following data will also be imported:

    • Card Descriptions

    • Designations (Owners, Requesters/Creators, and Followers)

    • Labels

    • Comments

    • Attachments

    • Due Dates

    • Custom Fields (imported as CH Labels)

    • Checklists (imported as CH Tasks on a Story)

Mapping Logic

From Trello: Into Clubhouse:


A single Trello Board will be imported into an existing CH Project.



Will map to CH Stories. All non-archived Cards from a single Board will be imported.

All Stories will be created as a “Feature” Story Type w/in Clubhouse.




Will import all Users that have access to the given Trello Board.

These can be mapped to existing CH users, invited after the imported as new users, or not invited at all (will map to the default Story requester).

All hierarchy ownership of Stories and Comments will persist within the imported data - if a User owns something in Trello, they will retain this permission in Clubhouse.




All Imported Stories will be placed into the first unstarted Workflow State for the select Project w/in Clubhouse.

We will add a CH Label to each Story with the associated Trello List Name (e.g. [board_name] - [list_name]).

We suggest using these Labels to move Stories into the appropriate CH Workflow State using bulk editing.




Complete” Label is added to all Cards with Due Date marked Complete in Trello.

Stale” label is added to all Trello cards that haven’t been updated in the past 90 days (to make archiving easier).

All imported Cards will be Labeled with the name of their previous Trello Board to make the cleanup process as easy as possible on your team.

Bulk Editing Imported Data

We find that our teams are able to easily find homes for the various values you’ve brought in by using our bulk editing functionality.

Reverting Imports

Need to regroup after an import? Not to worry - we’ve made sure that Imports can be reverted. This will delete all Stories, Labels, and Users created during the import to give your team a clean slate and restore your CH instance back to before the import process was started.
